VeraClean Privacy Policy

VeraClean ("we", "our", or "the app") is a business-management app for independent house-cleaning businesses. This Privacy Policy explains what information the app collects, how it is used, and the choices you have. By using VeraClean you agree to the practices described here.

Who we are

VeraClean is operated from Canada. For privacy questions or data requests, contact us at support@gocode.ca.

Information we collect

Free tier (on-device only). If you use the free tier, your business data — clients, schedules, jobs, checklists, invoices — is stored only on your device in a local database. It is never transmitted to our servers.

Pro tier (account-based). If you subscribe to the Pro tier and sign in, we collect and store the following on our servers so your data can sync across devices and to the owner web portal:

• Account information: email address, hashed password, business name, subscription tier, and subscription expiry date.
• Business data: clients (name, phone, email, address, notes), schedules, jobs, checklists, supplies, expenses, invoices, and estimates that you create inside the app.
• Employee records: if you invite staff, their email, name, role, and the jobs assigned to them.
• Before / after photos: photos you choose to capture are stored on your device and, for Pro users, uploaded to our object storage so they can appear in the web portal and (optionally) the client portal.

Device permissions the app may request:

• Camera — used only when you tap "Take Photo" to capture a before/after photo of a job. The camera is never accessed in the background.
• Contacts — used only when you choose to import a contact as a client. We do not upload your contact list; only the contacts you explicitly select are imported, and they become client records in your own account.
• Push notifications — used to notify you of job reminders, unpaid invoices, and low-stock supplies. You may disable these in your device settings.

We do not collect precise location, advertising identifiers, browsing history, health data, or biometrics.

How we use information

• To provide core app features: scheduling, invoicing, checklists, photo documentation, and sync between your devices and the web portal.
• To authenticate you and keep your account secure.
• To send transactional email (invoices, estimates, appointment reminders, password resets) to you and, at your direction, to your clients.
• To process Pro-tier subscriptions through Apple and Google.
• To diagnose crashes and operational issues.

We do not sell your personal information. We do not use your data for advertising. We do not share business data with third parties except as described below.

Third-party services

We rely on a small number of service providers to operate the app. Each receives only the data necessary for their function:

• Apple App Store / Google Play — subscription purchase and receipt verification.
• Firebase Cloud Messaging (Google) — delivery of push notifications.
• Email delivery provider — sending transactional email from noreply@veraclean.app.
• Object storage — hosting before/after photos uploaded by Pro users.
• Wave Accounting (optional) — if you connect your Wave account, we push clients and invoices to Wave on your behalf using OAuth. You may disconnect at any time from the app's integration settings.

Data retention

Business data you create (clients, schedules, jobs, invoices, estimates, etc.) is retained for as long as your account is active. If you delete a record inside the app, it is marked as deleted and removed from active views; deleted records are purged permanently from our servers within 7 days.

Before / after photos are retained for 90 days after they are captured, after which they are automatically removed from our servers to control storage costs. If you need to keep a photo longer, save it to your device outside the app. Photos you explicitly delete are removed from our servers immediately.

If you delete your account, all of your business data (including any remaining photos) is permanently deleted from our servers within 30 days, except for records we are required to retain by law (e.g., tax-related transaction records).

Your rights

You may request to access, export, correct, or delete your personal data at any time by emailing support@gocode.ca. Depending on where you live, you may have additional rights under laws such as the GDPR (EU/UK), PIPEDA (Canada), or the CCPA (California). We will respond to verified requests within 30 days.

Children

VeraClean is intended for use by adults operating a cleaning business. It is not directed to children under 13, and we do not knowingly collect data from children.

Security

We protect your data with industry-standard measures: TLS 1.2+ in transit, encrypted passwords (bcrypt), encrypted storage at rest, role-based access controls, and JWT-authenticated API access with short-lived tokens. No system is perfectly secure, but we take reasonable steps to protect your information.

International transfers

Our servers are hosted in Canada. If you access the app from outside Canada, your information will be transferred to and processed in Canada.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated through the app or by email to the address on your account. The "Last updated" date at the top reflects the most recent revision.
